BeAiFit LLC ("we," "us," "our") operates HiRiley. This policy explains how we collect, use, and protect your information.

1. Information We Collect

Account Information: When you sign up, we collect your name, email address, phone number, and password.

Call Data: When Riley screens a call, we collect the caller's phone number, call duration, a transcript of the conversation, an audio recording, and an AI-generated summary.

Usage Data: We collect basic usage information such as login times and feature usage to improve the service.

2. How We Use Your Information

  • To provide the AI receptionist service, including identifying forwarded calls, building your personalized AI prompt, and transferring verified callers.
  • To display your call history, transcripts, and recordings in your dashboard.
  • To send you email notifications about screened calls based on your notification preferences.
  • To monitor and improve Riley's performance and service quality.
  • To improve our service and fix issues.

3. SMS Notifications

What We Send: If you opt in to SMS notifications, we send you text messages containing lead details when Riley handles a call for your business. These messages include the caller's name, phone number, reason for calling, and urgency level.

Consent: SMS notifications are optional. You opt in by checking the SMS consent box during registration at hiriley.com/signup or by enabling SMS notifications in your account settings. You can opt out at any time by replying STOP to any message, disabling SMS notifications in your account settings, or contacting us at support@hiriley.com.

Message Frequency: Message frequency varies based on your call volume. You will receive one SMS per qualifying inbound call that Riley handles.

Costs: Message and data rates may apply depending on your mobile carrier and plan.

Help: Reply HELP to any message for assistance, or contact us at support@hiriley.com.

Carriers: SMS notifications are sent via standard SMS and are compatible with all major US carriers including AT&T, T-Mobile, Verizon, and others.

No Sharing: We do not share your phone number with third parties for marketing purposes. Your number is used solely to deliver lead notifications from HiRiley.

4. Information Sharing

We do not sell your personal information. We share data only with third-party service providers who help us deliver the service, including providers of AI processing, voice synthesis, speech transcription, telephony, and email delivery. These providers process data only as needed to deliver the service and are bound by their own privacy policies.

5. Call Recordings

Call recordings and transcripts are stored in your account and visible in your dashboard. Our team may review call recordings, transcripts, and AI-generated summaries to monitor Riley's performance, improve screening accuracy, debug issues, and improve the overall service. We treat all call data as confidential and limit access to authorized team members who need it for service improvement.

6. Data Retention

Your account data, call logs, recordings, and transcripts are retained as long as your account is active. When you delete your account, all associated data is permanently removed from our systems, including your profile, call logs, transcripts, and recordings. Third-party providers used to deliver the service may retain certain data under their own privacy policies and retention schedules.

7. Security

We use industry-standard security measures to protect your data, including encrypted connections, secure password hashing, and access controls.

8. Your Rights

You can access, update, or delete your personal information through your Settings page at any time. You can delete your entire account and all associated data from our systems using the Danger Zone section in Settings.

9. Cookies

We use essential cookies for session management. We do not use advertising or tracking cookies.

10. Children's Privacy

HiRiley is not intended for users under 18. We do not knowingly collect information from anyone under 18.

11. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes via email or an in-app notice.
